A small system for a common gap

The map keeps the minimum useful facts about an inquiry in one place: who asked, what they need, who owns the reply, what happens next, and when it should be reviewed.

It is intentionally plain. Start with the CSV, remove fields you do not use, and move to a larger system only when the workflow proves that it needs one.

Use a visible next action

Every open row should have one owner, one next action, and one date. Notes without a decision are not a follow-up system.

  • New: captured but not reviewed
  • Replied: first response sent
  • Waiting: another person must act
  • Next action: a specific follow-up is scheduled
  • Closed: completed, declined, or no longer active

Review the map on a fixed rhythm

A simple spreadsheet works only when someone owns the review. Choose a short daily check for new inquiries and one weekly check for waiting or overdue items.
